This Privacy Notice (“Notice”) explains how CoverMyMeds LLC (“CoverMyMeds”, “we” or “us”) collects, uses, discloses and stores information from and about prescriber and pharmacy portal users (“portal users”) of, and visitors to (“visitors”) (the “website”).

Together, portal users and visitors may be referred to as (“you”). Your viewing or use of the website and any services provided via the website constitutes your agreement with this Notice. You can contact us with questions at or by writing to the address at the end of this Notice.

References in this Notice have the same meanings as used in the portal user’s Terms of Service, including the Business Associate Agreement (“BAA”) between you and CoverMyMeds, the Health Insurance Portability and Accountability Act of 1996, the Health Information Technology for Economic and Clinical Health Act, and their implementing regulations, as amended from time to time (collectively, referred to as “HIPAA”). For the sake of convenience, this Notice refers to portal user profile information, protected health information (“PHI”) and any other information submitted by you, as applicable, to the website as “information.”

General Information

CoverMyMeds collects general metrics about you, which may be through the use of “cookies.” Website visitors, without using the services, do not reveal any personal information or PHI. Cookies collect general, non-personal, statistical information about the use of the website, such as how many visitors visit a specific page, how long they stay on that page, the sequence of pages accessed, and which links, if any, are followed. We may use Google Analytics to measure how you interact with our website in order to improve the user experience. To learn more about Google Analytics privacy practices and opt-out, click here. We may also use cookies for portal user account authentication. If you reject certain cookies, you may not be able to use some of the features of this website.

Links to other websites which are not created or maintained by CoverMyMeds may be available on We post links we believe are helpful to visitors and portal users of the website. Once you click a link to a site not created or maintained by CoverMyMeds, your visit to that site will be subject to that website’s privacy policy and other terms, not those of CoverMyMeds.

Portal User Accounts

Portal user accounts are available to, and intended for use solely by licensed health care providers, as described in the website Terms of Service. Any information you submit is collected when you register to use services available to portal users and agree to the website Terms of Service and BAA, or when another health care provider includes your contact information in a prior authorization (“PA”) or other form and submits it to the website. Portal user information is primarily demographic information such as the portal user’s name, email address, telephone number, identification number (such as NPI or NABP/NCPDP number), your role in the PA process, and contact information of other health care providers with whom you work and share PHI during the course of using services available at the website. Portal users may update user profile information or disable its portal user account at any time by visiting the preferences tab after logging in, or by sending a request via email to with the words “UPDATE MY INFORMATION” in the subject line. If you withdraw consent or disable your account, the business relationship created when you registered and agreed to the Terms of Service is terminated.

Any portal user can disable his or her portal user account at any time. Disabling your portal user account will render your account inaccessible; however, our system is required to maintain a record of portal user accounts and the contents of each for audit purposes, and we may maintain backup copies of all information for legal and compliance purposes. Other health care providers or payers who provide services to a patient may access the PHI and other relevant information that you have previously submitted and shared during your use of a service on the website.

Submission of Information

PA forms and other forms and services made available to users are configured to collect only the minimum necessary amount of information that the payer organization or regulatory entity which created the form requested. A portal user must submit PHI in order to utilize services available on this website. Other health care providers will receive and use PHI a portal user submits in order to facilitate the provision of services on this website. If a portal user: i) uploads attachments containing additional PHI or other information, ii) enters additional PHI or other user information into forms, data fields or other areas on the website, or iii) emails or faxes PHI or other information to us, it is deemed by CoverMyMeds to be necessary for such services. CoverMyMeds does not advise, evaluate or contribute patient information or any other medical or clinical content. CoverMyMeds does not contact or otherwise interact with individuals (patients) without first obtaining required consents.

Information collected by us is not sold, rented, or shared with parties who are not affiliated with CoverMyMeds, unless we are permitted or required to do so by law. In order to provide any website services, we may need to share information with third party service providers that host our servers or provide other functions essential to providing services. Portal user information may also be shared with software providers like pharmacy dispensing systems or Electronic Health Record systems in connection with any website services. Information is not shared until a confidentiality agreement, BAA or other arrangement is signed between that third party and CoverMyMeds.

We may use aggregated, de-identified or anonymized information from you, our other portal users, and visitors for business purposes such as trend identification, system or service performance evaluation and improvements. We may share aggregated, de-identified, or anonymized information you provide with current or prospective clients, which include plans, PBMs and pharmaceutical manufacturers, to demonstrate the effectiveness of programs offered by the website. PHI is not shared with clients who do not perform a Payment, Treatment or Operation service as defined in HIPAA. We share limited demographic information about you and other portal users to our clients, including type of user, a numeric ID, and zip code/state, but we do not share your name, practice name, or employer.

In some special circumstances, we may be required by law to share your information without aggregating, de-identifying or anonymizing it in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, contractual violations, or as otherwise required by law. We reserve the right to share your information with third parties in such instances without first obtaining your consent.

Website Security

Portal user information, including your portal user account password, is encrypted. We use your login information for authentication and security. Portal user information is processed by CoverMyMeds on servers located in the United States. Portal user information submitted by portal users is used, disclosed and maintained as required and permitted by HIPAA, the website Terms of Service and accompanying BAA or other arrangement between you and CoverMyMeds.

Information submitted to the website by portal users is protected in several ways, including authentication of usernames and passwords. CoverMyMeds uses SHA-256 bit encryption, the same security used for online banking. In addition, information processing and transfer complies with all health plan requirements, other third party payer rules and HIPAA security standards. We use third party vendors and hosting partners to provide physical security and backup of data, and to store our equipment at a secured facility designed for such purpose. Despite the security measures employed by CoverMyMeds, it is impossible to guarantee absolute security with respect to information sent over the Internet.

All information you provide to CoverMyMeds is retained for the period required by law and regulations. After that time, we may destroy your information in a manner reasonably certain to prevent loss, theft, misuse, or unauthorized access. This does not include your information that has been aggregated, de-identified or anonymized.

“Do Not Call” Signals

Some web browsers have a “Do Not Track” feature. This feature allows you to tell websites you visit that you do not want to have your online activity tracked over time and across websites. These features are not yet uniform across browsers. This website is not currently set up to respond to those signals.

Children’s Privacy

The website is not intended for use by anyone under the age of 13, and we do not knowingly collect personal information from children under the age of 13. We request that children under the age of 13 not create a portal account or otherwise submit any personal information through the CoverMyMeds website.

Changes and Updates

We reserve the right to update and/or change this Notice from time to time without prior notice. In the event that we update or modify this Notice, we will post the modified notice on this page along with its effective date. We recommend that you review this Notice regularly. If you do not agree to the current or an updated Notice, you should discontinue your use of our website, disable your portal user account with us (as described above) and terminate the BAA between us.
